Introduction

Collector Xchange LLC, doing business as The Collector Xchange ("we," "us"), operates a marketplace where collectors buy, sell, and trade items. This policy explains what information we collect when you use the site, why we collect it, who can see it, and the choices you have. By creating an account, you agree to the collection and use of information as described here.

To help keep the marketplace made up of real people, we require a real photo of your face at signup, shown publicly on your profile — described in more detail below.

Information we collect

Account information. Email address, password (stored as a one-way cryptographic hash — we never store or can recover your actual password), display name, first and last name, phone number, and optionally a bio and general location.

Profile photo. A real photo of your face, required at signup and shown publicly on your profile so other users know who they're dealing with. We don't run any automated check against it beyond confirming it's a valid image file — it's a deterrent against fake/bot accounts, not an identity verification.

Addresses. A physical address and (optionally, if different) a shipping address, collected at signup to support order fulfillment. These are visible only to you on your account page; we do not currently share them with anyone else. If a future feature shares your shipping address with a trade or purchase counterparty to fulfill an order, we'll update this policy before turning that on.

Listings and inventory. Titles, descriptions, category-specific details (e.g. sport, year, set, grade), and photos you upload for items you list for sale/trade or track in your personal inventory.

Trades, orders, and payments. Records of trade proposals and their terms, order and shipping status (carrier, tracking number, ship/deliver/confirm timestamps), and payment records. Payments are currently simulated — no real money or payment card information is collected or processed by this site.

Messages. The content of messages you send other users through the site's built-in messaging, tied to a listing, trade, or order.

Ratings and reports. Star ratings and written reviews you leave after a completed order, and reports you file about a listing, user, image, or message (including whatever details you provide).

Technical data. A single session cookie that keeps you logged in (see Cookies below), and ordinary web server logs (e.g. IP address, timestamps, requested pages) generated by running the site.

How we use this information

  • Operate your account and authenticate you when you log in.
  • Display your listings, inventory, profile, and reviews to other users as intended.
  • Facilitate trades, purchases, messaging, and order fulfillment between users.
  • Review reports, enforce our policies, and keep the marketplace safe (see the admin moderation tools referenced below).
  • Communicate with you about your account or activity on the site.
  • Comply with legal obligations.

We do not sell your personal information, and we do not use it for advertising.

What other users can see

Public, shown on your profile or listings: display name, profile photo, bio, general location, your active listings and inventory you've chosen to put on the trade block, and the ratings and written reviews other users have left about you.

Private, never shown to other users: your email, phone number, physical/shipping addresses, and password. A trade or order counterparty can see the messages you exchange with them and the status of items in that specific transaction.

Sharing with third parties

We do not currently share your information with any third-party service. Concretely, as of the date above: payments are simulated (no payment processor is involved), we don't use any third-party analytics or advertising trackers, and account/report notifications are logged internally rather than sent through an outside email provider.

If that changes — for example, adding a real payment processor, a transactional email provider, or a market-pricing data source — we'll update this section to name the provider and what it receives before turning the integration on.

We may disclose information if required by law, to comply with legal process, or to protect the rights, safety, or property of The Collector Xchange or our users.

Data security

Passwords are hashed (never stored in plain text). Access to admin moderation tools is restricted to authenticated requests that check admin status. No method of storage or transmission is perfectly secure, but we design around minimizing what sensitive data we retain and for how long.

Data retention

We keep account, listing, trade, order, and message data for as long as your account is active, since that history is part of how trust (ratings, reviews) works on the platform. If you delete your account (see below), we remove or anonymize personal information beyond what we're required to retain for legal, safety, or dispute-resolution purposes (for example, records of a completed trade involving another user).

Your choices and rights

You can review and update your profile information, bio, and addresses from your account page at any time. We don't yet have a self-service "delete my account" button — to request deletion or correction of your personal information, or to ask what data we hold about you, contact us at anthony@collectorxchange.com. We'll respond and complete reasonable requests promptly.

Children's privacy

The Collector Xchange is not directed at, and we do not knowingly collect information from, anyone under 18. The marketplace's trade/sale features are built for adults. If you believe a minor has created an account, contact us and we'll remove it.

Cookies

We use a single first-party session cookie to keep you logged in. It's required for the site to function and isn't used for tracking, advertising, or analytics. We don't currently use any third-party cookies or tracking scripts.

Changes to this policy

If we materially change how we collect, use, or share information, we'll update this page and change the "Last updated" date above. Significant changes (for example, adding a real payment processor or sharing new categories of data with a third party) will be called out more prominently, not just left to a date change.
